This Privacy Policy explains how Pilotium collects, uses, shares and protects your personal data when you use www.pilotium.com and our services.
1. Who is responsible for your data
The data controller is Pilotium Aviation Services EOOD, a company registered in Bulgaria under UIC 206778049, with its registered office at Beli Iskar Str. 19, fl. 3, ap. 5, 1504 Sofia, Bulgaria. In this policy, "Pilotium", "we" and "us" refer to this company. For any privacy question or request, contact us at alican@pilotium.com.
2. Information we collect
Account and profile information: your name, email address, phone number, login details, profile details, membership status and your activity on the platform, such as programs joined and progress. Professional information: information about your aviation career that you choose to share, such as your role, licence type, experience, career goals and assessment preparation. Booking information: for simulator sessions, licence revalidation, licence renewal, mock interviews and mentor sessions, the details needed to arrange the service, such as your licence details, aircraft type, preferred dates and location. Transaction information: your purchases, subscription status and billing details. Card payments are processed by our payment provider, Stripe. Pilotium does not receive or store your full card details. AI Coach conversations: the messages you send to the AI Coach and the responses generated. Communications: messages you send us by email or through forms on the site. Technical information: your IP address, browser type, device type, pages visited, time spent on pages and referring websites.
3. How we use your information and our legal basis
To create and manage your account, provide programs, memberships and services, process payments and arrange bookings with our partners. Legal basis: performance of our contract with you. To provide the AI Coach. Legal basis: performance of our contract with you. To keep accounting and tax records. Legal basis: compliance with our legal obligations. To improve the platform, analyse usage, and prevent fraud, abuse or unauthorised access. Legal basis: our legitimate interest in running a secure and useful platform. To send you newsletters, program updates and offers. Legal basis: your consent, or our legitimate interest where you are an existing member. You can unsubscribe at any time using the link in each email. We do not use your data for automated decisions that have legal or similarly significant effects on you.
4. Who we share your information with
We share personal data only where necessary, with: - Wix.com, which hosts our website, member accounts, programs and checkout. - Stripe, which processes card payments. - OpenAI, which processes AI Coach messages to generate responses. - Email and analytics tools we use to communicate with members and understand how the site is used. - Partner simulator centres and examiners, who receive the booking details needed to deliver a simulator session, revalidation or renewal you have booked. - Our accountants and legal advisers, and public authorities where we are legally required to share data. We do not sell your personal data.
5. International transfers
Some of our service providers, including OpenAI and Stripe, process data outside the European Economic Area, including in the United States. Where this happens, we rely on appropriate safeguards, such as the EU-U.S. Data Privacy Framework or the European Commission's Standard Contractual Clauses. When you book a service delivered in Türkiye or another country outside the EEA, we share the booking details needed with the partner delivering it in that country, because this is necessary to provide the service you have requested.
6. Cookies
We use cookies and similar technologies to keep the site working, remember your preferences and understand how the site is used. Non-essential cookies are used only with your consent, which you can give or withdraw through the cookie banner on our site. You can also manage cookies through your browser settings. Disabling cookies may affect some features.
7. How long we keep your data
We keep account data for as long as your account is active. If you delete your account, we delete or anonymise your data within a reasonable period, except where we must keep it longer. Purchase and invoice records are kept for as long as required by Bulgarian tax and accounting law. AI Coach conversations are kept for as long as your account is active, unless you ask us to delete them earlier.
8. Your rights
Under the GDPR, you have the right to: - access the personal data we hold about you - correct inaccurate data - request deletion of your data - restrict or object to certain processing - receive your data in a portable format - withdraw your consent at any time, without affecting processing that took place before To exercise these rights, email alican@pilotium.com. We respond within one month. You also have the right to lodge a complaint with a data protection authority. In Bulgaria, this is the Commission for Personal Data Protection (www.cpdp.bg). You may also contact the authority in the country where you live.
9. Security
We take reasonable technical and organisational measures to protect your data against unauthorised access, loss or misuse. No online service can guarantee absolute security, so please also protect your login details and devices.
10. Age
Pilotium is intended for users aged 18 or older. Users under 18 may use Pilotium only with the permission of a parent or legal guardian, as set out in our Terms & Conditions. If we learn that we have collected data from a minor without such permission, we will delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. The latest version will always be posted on this page with its "Last updated" date. If we make significant changes, we will notify members by email.
